Event data managment information

This Data Processing Notice aims to explain how and what personal data QX WORLD Ltd. processes about you in connection with the QX World International Conference (hereinafter: the “Event”). 

 

1, DATA CONTROLLER 

 

The data controller is QX WORLD Ltd. (registered office: 1095 Budapest, Tinódi utca 1-3. A. building, 4th floor, door 93; email: [email protected]), hereinafter referred to as the “Data Controller,” “QX World,” or “we.” 

 

2, FOR WHAT PURPOSES AND WHAT PERSONAL DATA DO WE PROCESS? WHAT IS THE LEGAL BASIS FOR PROCESSING YOUR PERSONAL DATA? 

a) We use your personal data to process your registration and to communicate with you about the Event through the contact details you provided so that we can fulfill our duties as the Event organizer. For this purpose, we process your name and email address.

 

In processing your personal data for the above purpose, we rely on Article 6(1)(b) of Regulation (EU) 679/2016 (hereinafter: “GDPR”) as the legal basis, as such processing is necessary for the performance of a contract. 

 

b) QX World or its authorized representative may take photographs and video recordings of you during your participation in the Event, and we may use the images and/or videos on our social media pages and other communication platforms, as well as publish them on our internal website (intranet). Please note that the purpose of taking and publishing these recordings is not to individually depict you but to capture the overall effect of the Event as a whole. For this purpose, QX World relies on its legitimate interest under Article 6(1)(f) of the GDPR as the legal basis.

 

3, HOW LONG DO WE RETAIN YOUR PERSONAL DATA? 

 

We retain the personal data specified in Section 2.A. of this Data Processing Notice until the end of the fifth year following the conclusion of the Event, unless otherwise required by law. 

If we process your personal data based on your consent, we will retain and process your personal data until you withdraw your consent. 

Photographs and recordings will be retained until an affected party objects to their use.

4, WHO HAS ACCESS TO YOUR PERSONAL DATA?

Only our authorized staff members have access to your personal data. 

Please note that we do not transfer your personal data to parties located outside the European Economic Area (EEA).

YOUR RIGHTS IN RELATION TO DATA PROCESSING

 

a) Right to withdraw consent: If you have given your consent for the processing of your personal data, you may withdraw your consent at any time with future effect.

 

b) Right of access: You have the right to receive confirmation from us as to whether or not your personal data is being processed, and if it is, you have the right to access your personal data. We may request additional information from you for identification purposes and may charge a reasonable fee for additional copies.

 

c) Right to rectification: You have the right to request the correction of inaccurate personal data concerning you.

 

d) Right to erasure (right to be forgotten): In certain cases, you have the right to request that we delete your personal data.

 

e) Right to restrict processing: In certain cases, you have the right to request that we restrict the processing of your personal data. In such cases, the data may only be processed for certain limited purposes as defined by law.

 

f) Right to data portability: You have the right to receive your personal data in a structured, commonly used, and machine-readable format, and you have the right to transmit those data to another data controller.

 

g) Right to object: You have the right to object at any time, on grounds relating to your particular situation, to the processing of your personal data based on Article 6(1)(f) of the GDPR. In this case, the Data Controller will no longer process your personal data unless it demonstrates compelling legitimate grounds for the processing that override your interests, rights, and freedoms or are related to the establishment, exercise, or defense of legal claims.
